2016 Bookkeeper/Clerical Administrator RFQ


The Visit Mount Dora, Inc. Board of Directors is seeking an independent contractor for calendar year 2016 for the following described duties considered part-time work. To commence on or about October 1, 2015.

Bookkeeper/Clerical Administrator


Facilitate, organize and maintain accounting records in a Bookkeeper capacity plus clerical administrative duties under the guidance set forth by the Visit Mount Dora, Inc. Board of Directors.


Bookkeeping duties include but are not limited to:


Preparation of financial reports prior to monthly board meetings Invoicing and collection on behalf of Visit Mount Dora for board approved services
Deposit of funds to the Visit Mount Dora bank account in a timely manner
Checks written as requested when requested as approved by the board.
All Invoices paid timely and separately with memos referencing each transaction
Bank reconciliations and proper record keeping
Membership invoicing and interfacing as needed
Preparation of budget spreadsheets for committees
Update budget spreadsheets to reflect up to date and accurate information
Preparation of event specific P&L spreadsheets in a timely manner
Prepare 1099s and paperwork for tax reporting
Prepare and submit documents for taxes and interface with appointed CPA
Record retention to include document scanning and storage
Other duties as assigned may include but are not limited to:
Office duties and banking as needed
Weekly mail pick up and distribution to appropriate board members
Interface with insurance agency for all covered liabilities
Schedule meeting venues and coordinate small platters appropriate for expected attendance
Attend Board meetings at the request of the Board of Directors

Requirements for this position:
Experience with QuickBooks and Excel is required
Minimum 5 years of continuous bookkeeper or equivalent experience
Not for Profit experience is a plus

The best candidate for this excellent opportunity will be self-motivated and is able To multi task and complete projects in a timely manner. A good candidate is highly Organized, detail oriented, and able to work under pressure.

The ability to work well with others with a positive, professional attitude is a must.
